TERMS & CONDITIONS
Effective Date: July 21, 2026
Retainer & Rescheduling
A non-refundable retainer (deposit) is required to reserve your event date and secure services. Because your event date is held exclusively for you, retainers are non-refundable. If you need to reschedule, I will make every effort to accommodate your new date; however, rescheduling is subject to availability.
Travel Fee
Events located outside of the Dallas–Fort Worth (DFW) metroplex may be subject to a reasonable travel fee. Any applicable travel fee will be discussed with the Client and included in the final quote or invoice before booking confirmation.
Final Payment
The remaining balance is due 7 days prior to the scheduled event date. Payment arrangements may be requested in advance and must be approved by DJ LA PATRONA Events & Entertainment. Approved arrangements may allow the remaining balance to be paid upon arrival for setup. Regardless of any approved payment arrangement, the full balance must be paid no later than the scheduled event date.
Client Communication
The Client agrees to provide accurate contact information and promptly communicate any changes regarding the event date, location, timeline, or other important event details.
Overtime
Any additional event time requested beyond the contracted hours is subject to the availability of DJ LA PATRONA Events & Entertainment and may be billed at the current hourly rate. Overtime services are not guaranteed and must be approved by DJ LA PATRONA Events & Entertainment.
Venue Access & Setup
The Client is responsible for ensuring timely access to the venue and designated setup area at the agreed-upon time. Delays in venue access or restrictions that interfere with setup may affect the quality or timing of services and do not reduce the total amount of payment due under the agreement invoice. Client is responsible for confirming approval for use of DJ equipment including Dry ice machines (dancing on the clouds) & cold sparklers with their venue.
Equipment Space
The Client agrees to provide adequate space for DJ equipment, photo booth services, and any rented equipment. Setup areas should be level, reasonably clean, and accessible prior to the scheduled setup time.
Electrical Power
The Client is responsible for ensuring that adequate electrical power is available at the event location. DJ LA PATRONA Events & Entertainment is not responsible for delays, interruptions, or equipment limitations caused by insufficient power or venue-related electrical issues.
Outdoor Events & Weather
For outdoor events, the Client is responsible for providing adequate protection from rain, excessive heat, wind, or other weather conditions that may damage equipment or create unsafe working conditions. DJ LA PATRONA Events & Entertainment reserves the right to suspend or discontinue services if weather conditions pose a risk to equipment or the safety of guests or staff.
Equipment Responsibility
The Client is responsible for providing a safe environment for all DJ equipment, photo booth equipment, rentals, and event enhancements throughout the event. The Client is also responsible for ensuring that guests use all equipment and props appropriately and safely.
The Client may be held financially responsible for any loss, theft, or damage to equipment caused by guests, attendees, venue staff, or any individual associated with the event. While DJ LA PATRONA Events & Entertainment maintains business insurance, Clients are expected to exercise reasonable care to help prevent avoidable damage, including but not limited to spilled drinks, knocked-over speakers, damaged props, misuse of rented equipment, or any other negligent acts.
Event Delays
DJ LA PATRONA Events & Entertainment is not responsible for delays caused by the Client, venue, vendors, or unforeseen circumstances. Services will conclude at the contracted end time unless additional time is approved and billed accordingly.
Event Cancellation
If the Client cancels the event, all payments made remain subject to the terms of this agreement. Clients may choose to forfeit payments already made or request to reschedule their event, subject to availability.
Early Event Conclusion
If an event ends earlier than the scheduled contracted time for any reason, the total amount due under this agreement remains unchanged and is not subject to reduction or refund.
Photography & Videography
DJ LA PATRONA Events & Entertainment may capture photographs and videos during events for promotional purposes, including use on our website, social media platforms, advertisements, and other marketing materials. This may include content captured directly by our staff, through photo booth services, or, with permission, photographs or videos provided by the event photographer or videographer.
Clients who do not wish to have photographs or videos from their event used for promotional purposes must notify DJ LA PATRONA Events & Entertainment prior to the event date. Every reasonable effort will be made to honor these requests.
Meals
For events exceeding six (6) consecutive hours, a vendor meal is greatly appreciated! But not required. If provided, meals are requested during the same time guests are dining whenever possible.
Force Majeure
DJ LA PATRONA Events & Entertainment shall not be held liable for delays, interruptions, or failure to perform services due to circumstances beyond reasonable control, including but not limited to severe weather, natural disasters, government restrictions, venue closures, power outages, or other unforeseen emergencies.
